What is OCR used for?
OCR (Optical Character Recognition) is a text recognition technology that can transform scanned files into searchable PDFs. It also helps in converting a scanned document into an editable office format document, while preserving the file content's integrity.
How does it work?
The OCR tool translates the recognised shapes and patterns into a machine-readable text and creates an invisible text layer. This preserves the original file's appearance, but allows user to search, highlight, copy and select text.
Tip: Ensure that your file is predominantly readable text with a clear background.
Here's how to make scans searchable with OCR
1. Open your scanned file. In the Home tab, click on OCR.
2. Choose the number of pages you would want to convert, as well as all the languages of the file. Click Apply.
3. You can now make changes to the file.
Convert your OCR file to other formats
1. Click on the Convert tab.
2. Select the desired format.
3. Once converted, the document will open in the new window.
Limitations
While OCR is a powerful tool, not all scanned documents are suitable to be OCR
processed. Some limitations include:
- some elements might not be available for editing
- difficulties processing files with complex backgrounds
- might require human finish/touch-up after conversion
- easily affected by the quality of the scan
